Vacay with Friends operates as an independent agent of FST No. ST15578 and CST No. 2090937-50.

By accessing this website, creating a traveler profile, submitting an inquiry, joining a trip, making a payment, or using any Vacay with Friends service, you agree to these Terms & Conditions. If you do not agree, you should not use this website or purchase services from Vacay with Friends.

1. About Vacay with Friends

Vacay with Friends is a curated group travel and traveler-matching brand that helps travelers connect with compatible travel companions and participate in curated group trips, travel experiences, and related planning services.

Vacay with Friends may provide trip planning, group coordination, traveler matching, destination research, itinerary design, booking support, and access to travel services offered by third-party suppliers, hotels, tour operators, transportation providers, restaurants, activity providers, travel insurance providers, host agencies, and payment processors.

Vacay with Friends operates as an independent agent and is not the direct provider of all travel services. Travel products and services may be provided by independent third-party suppliers and/or host agency partners. Supplier terms, conditions, payment rules, cancellation policies, and liability limitations may also apply.

2. Eligibility

You must be at least 18 years old to use our services, create a traveler profile, or book a trip. By using our services, you confirm that all information you provide is accurate, current, and complete.

3. Traveler Profiles and Matching

Traveler profiles may include travel style, interests, preferred destinations, budget, personality or vibe, roommate preferences, dietary restrictions, accessibility needs, and other travel-related information.

Vacay with Friends uses this information to help recommend compatible trips, roommates, groups, or travel experiences. We do not guarantee that every traveler will be matched, that a match will result in friendship, or that all personalities, expectations, habits, or travel styles will align perfectly.

Traveler matching is a curated support service, not a guarantee of compatibility, safety, or personal relationship outcome.

4. Trip Pricing

Trip pricing may include selected accommodations, listed activities, certain meals, group experiences, coordination, planning, and/or service fees. Each trip page or proposal will identify what is included and excluded.

Unless specifically stated, trip pricing does not include airfare, passport or visa fees, travel insurance, optional excursions, alcoholic beverages, personal expenses, luggage fees, medical costs, gratuities, or transportation not listed in the itinerary.

Prices may change until a deposit or full payment is received and the booking is confirmed.

5. Payments

Payments may be collected through approved third-party payment processors, host agency systems, or booking platforms. By submitting payment, you agree to the pricing, payment schedule, cancellation terms, and traveler agreement associated with your trip.

Payment plans may be offered for select trips. Failure to make payments by the stated deadlines may result in cancellation of your reservation and loss of prior payments according to the applicable cancellation policy.

6. Deposits

Deposits hold your space on a trip and may be non-refundable unless otherwise stated in writing. Deposits may be used to secure accommodations, supplier reservations, administrative work, planning time, and group coordination.

Trip-specific deposit terms will be listed on the trip page, invoice, proposal, or traveler agreement.

7. Final Payment

Final payment deadlines will be listed for each trip. If final payment is not received by the deadline, Vacay with Friends may cancel your spot and apply the cancellation policy in effect for that trip.

8. Third-Party Suppliers

Vacay with Friends works with third-party suppliers, including hotels, resorts, tour operators, cruise lines, airlines, restaurants, transportation providers, travel insurance providers, and local experience providers.

We are not responsible for the acts, errors, delays, cancellations, omissions, negligence, schedule changes, quality issues, injuries, losses, or failures of third-party suppliers. Supplier terms and conditions may also apply to your booking.

9. Travel Documents and Entry Requirements

Travelers are responsible for having valid passports, visas, identification, vaccinations, permits, and any required travel documents. Passport, visa, and entry requirements can change.

Vacay with Friends may provide general reminders, but it is the traveler's responsibility to verify all requirements before departure.

10. Health, Safety, and Travel Risks

Travel involves risks, including illness, injury, theft, delays, weather disruptions, political unrest, natural disasters, transportation issues, supplier changes, and other unexpected events.

By booking, you acknowledge that you voluntarily assume the risks associated with travel and group experiences.

11. Travel Insurance

Travel insurance is strongly recommended for every traveler. Depending on the trip, travel insurance may be required.

Travel insurance may help protect against certain covered losses, including trip cancellation, medical emergencies, travel delays, lost baggage, and supplier disruptions. Coverage varies by policy, and it is the traveler's responsibility to review and purchase the coverage that best fits their needs.

12. Roommates and Shared Accommodations

Some Vacay with Friends trips may include shared rooms or roommate matching. While we make reasonable efforts to pair travelers based on preferences, Vacay with Friends does not guarantee roommate compatibility.

Travelers are expected to be respectful, clean, considerate, and cooperative in shared spaces. If a traveler requests a room change or single occupancy, additional fees may apply and availability is not guaranteed.

13. Traveler Conduct

Travelers must behave respectfully toward other travelers, suppliers, guides, local communities, and Vacay with Friends representatives.

Vacay with Friends may remove a traveler from a trip without refund if the traveler engages in behavior that is unsafe, disruptive, abusive, discriminatory, threatening, illegal, intoxicated to the point of endangering others, or otherwise harmful to the group experience.

14. Photos, Videos, and Media

Vacay with Friends may take photos or videos during trips for marketing, social media, website content, or promotional purposes. By attending a trip, you grant Vacay with Friends permission to use images or videos that include you unless you notify us in writing before the trip that you do not consent to being photographed or recorded for promotional use.

15. Website Content

All website content, branding, images, graphics, text, trip descriptions, logos, and materials are owned by or licensed to Vacay with Friends unless otherwise stated. You may not copy, reproduce, distribute, or use our content for commercial purposes without written permission.

16. Limitation of Liability

To the fullest extent permitted by law, Vacay with Friends is not liable for indirect, incidental, consequential, special, punitive, or unexpected damages related to your use of our website, participation in a trip, third-party supplier issues, delays, cancellations, injuries, losses, or travel disruptions.

17. Indemnification

You agree to indemnify and hold harmless Vacay with Friends, its owners, representatives, contractors, affiliates, host agency partners, and third-party suppliers from claims, damages, losses, expenses, or liabilities arising from your actions, your violation of these terms, your participation in travel, or your interactions with other travelers.

18. Changes to Terms

Vacay with Friends may update these Terms & Conditions at any time. The updated version will be posted on our website with a new effective date.
