Traveler Agreement

Vacay with Friends operates as an independent agent of FST No. ST15578 and CST No. 2090937-50.

This Traveler Agreement applies to all travelers who book or participate in a Vacay with Friends trip, retreat, group getaway, curated travel experience, or custom travel planning service.

1. Traveler Information

By booking a trip, I confirm that all information I provide is accurate and complete, including my name, contact information, emergency contact, passport information if needed, health considerations, dietary needs, accessibility needs, roommate preferences, and travel preferences.

I understand that failure to provide accurate information may affect my ability to participate in the trip.

2. Payment Agreement

I agree to pay the trip price according to the payment schedule provided. I understand that my spot is not confirmed until the required deposit or payment has been received.

I understand that missed payments may result in cancellation of my booking and that prior payments may be non-refundable according to the cancellation policy.

3. Deposit Agreement

I understand that deposits may be non-refundable because they help secure accommodations, suppliers, planning time, group logistics, and administrative costs.

4. Cancellation Agreement

I understand that cancellation policies vary by trip and supplier. I agree to review and follow the Vacay with Friends Cancellation Policy and any trip-specific cancellation terms.

5. Travel Insurance Acknowledgment

I understand that travel insurance is strongly recommended and may be required for certain trips. I understand that without travel insurance, I may lose some or all payments if I cancel, become ill, miss a flight, experience an emergency, or encounter unexpected travel disruptions.

6. Passport, Visa, and Entry Requirements

I understand that I am responsible for securing and verifying all required travel documents, including passport, visa, identification, vaccination, and entry requirements.

I understand that Vacay with Friends is not responsible if I am denied boarding, denied entry, or unable to travel because of missing, expired, inaccurate, or insufficient documents.

7. Health and Medical Responsibility

I understand that I am responsible for determining whether I am physically and medically able to participate in the trip and all activities.

I agree to disclose relevant medical, dietary, allergy, mobility, or accessibility needs that may affect my participation or safety.

Vacay with Friends does not provide medical advice and is not responsible for medical care, treatment decisions, or health outcomes during travel.

8. Assumption of Risk

I understand that travel includes risks, including but not limited to illness, injury, accidents, theft, weather disruptions, delays, transportation issues, supplier cancellations, political unrest, natural disasters, and unexpected itinerary changes.

I voluntarily assume these risks by participating in a Vacay with Friends trip.

9. Group Travel Expectations

I understand that group travel requires flexibility, patience, respect, and cooperation. I agree to arrive on time for scheduled activities, respect other travelers' boundaries and privacy, communicate concerns respectfully, follow safety instructions, respect local customs and laws, and avoid behavior that disrupts the group experience.

10. Roommate Agreement

If I participate in shared accommodations, I understand that Vacay with Friends may use traveler profile information to suggest roommate pairings, but roommate compatibility is not guaranteed.

I agree to maintain shared spaces respectfully and communicate concerns appropriately. If I request a room change or private room, I understand that additional costs may apply and availability is not guaranteed.

11. Code of Conduct

I understand that Vacay with Friends may remove me from a trip without refund if I engage in behavior that is unsafe, abusive, discriminatory, harassing, illegal, threatening, excessively disruptive, or harmful to other travelers, suppliers, local communities, or the Vacay with Friends brand.

12. Substance Use and Safety

I agree to use alcohol responsibly and follow all applicable laws. I understand that illegal drug use, unsafe intoxication, or behavior that endangers myself or others may result in removal from the trip without refund.

13. Itinerary Changes

I understand that itineraries may change due to weather, supplier availability, transportation delays, safety concerns, group needs, or circumstances beyond the control of Vacay with Friends.

Vacay with Friends will make reasonable efforts to provide comparable alternatives when possible, but exact replacements are not guaranteed.

14. Third-Party Suppliers

I understand that hotels, tours, transportation, restaurants, excursions, and other services may be operated by independent third-party suppliers.

I understand that Vacay with Friends is not responsible for the acts, omissions, delays, cancellations, negligence, or service failures of third-party suppliers.

15. Media Release

I authorize Vacay with Friends to use photos or videos taken during the trip for marketing, social media, website, and promotional purposes unless I notify Vacay with Friends in writing before the trip that I do not consent.

16. Emergency Contact

In the event of an emergency, I authorize Vacay with Friends or its representatives to contact my emergency contact and assist in obtaining emergency services if needed.
